SUMMARY

Individual may schedule appointments, gives information to callers, and revise letters for management, and otherwise relieves company officers, management and accounting staff of clerical work and minor administrative and business detail by performing at least the following illustrative duties. This job function will require discretion and protection of confidential information. The incumbent must be a TEAM player and be willing to help others without being told to do so. Incumbent must be self-starting and be able to perform duties without constant oversight and supervision. Reliability, promptness and a positive attitude with other staff members and customers is essential. Work hours are scheduled 8:00 to 5:00. Overtime is occasionally required and must have advance approval. Tardiness and absenteeism cannot be accepted.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Other duties may be assigned.

Incumbent composes and word processes routine correspondence.

Incumbent must make arrangements for pick up of Federal Express, UPS, BCO Delivery etc. packages. If urgent packages cannot be picked up by carrier, incumbent is to deliver packages to carrier office.

Incumbent answers all incoming telephone calls, acquiring name, company and nature of business and gives information to callers or routes call to appropriate company personnel. On request, incumbent places outgoing calls. Incumbent must effectively screen and dispatch calls of vital importance to the company.

Incumbent greets visitors, ascertains nature of business, and conducts visitors to employer or appropriate person.

Incumbent maintains Excel spreadsheets containing company expenses that are generated by employees containing company credit cards.

Incumbent arranges travel schedule and reservations for company officers, offsite workers and managers.

GENERAL ACCOUNTING

Incumbent assists in sorting documents and filing other records as directed along with additional jobs as instructed by their supervisor.

Incumbent processes all complete job files for closure and files in appropriate filing cabinets.

Inventory Management

Incumbent inputs all inventory transfers and month end counts as required to close month.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Incumbent must have the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Incumbent must have the ability to write routine reports and correspondence. Incumbent must have the ability to speak English effectively before groups of customers or employees of organization.

COMPUTER SKILLS

Proficiency in the following software packages is essential:
1. Microsoft Word
2. Microsoft Excel

General computer literacy is essential to adequately perform this function.

REASONING ABILITY

Incumbent must have the ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Incumbent must have the ability to deal with problems involving a few concrete variables in standardized situations.
