SUMMARY 

Individual will be responsible for all data entry of accounts payable in the accounting software, MAS 200 and working along with the accounting staff on clerical work and minor administrative and business detail by performing at least the following illustrative duties.  This job function will also be required to assist the Accounting Supervisor and Controller.  This job function will require discretion and protection of confidential information.  The incumbent must be a TEAM player and be willing to help others without being told to do so.  Incumbent must be self-starting and be able to perform duties without constant oversight and supervision.  Reliability, promptness and a positive attitude with other staff members and vendors is essential.  Work hours are scheduled 8:00 to 5:00.  Overtime may be occasionally required and must have advance approval.  Tardiness and absenteeism cannot be accepted.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Incumbent composes and word processes routine correspondence.

GENERAL ACCOUNTING

  • Incumbent assist in sorting documents and filing other records as directed.
  • Incumbent will prepare payroll.
  • Incumbent will be responsible for reconciling bank accounts.

ACCOUNTS PAYABLE

  • Incumbent inputs A/P invoices into accounting system.
  • Incumbent assists in sorting documents.
  • Incumbent prepares analysis of accounts, as required.
  • Incumbent assists in monthly closing schedules in Excel.
  • Incumbent prints A/P aged invoice reports and selects necessary A/P suppliers, Receipt Triggered Payables for weekly A/P check run.
  • Incumbent assists in maintaining all accounts payable files.
  • Incumbent prepares analysis of accounts, as required.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Incumbent must have the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Incumbent must have the ability to write routine reports and correspondence. Incumbent must have the ability to speak English effectively before groups of customers or employees of organization.

COMPUTER SKILLS

Proficiency in the following software packages is essential:

  1.  Microsoft Word
  2.  Microsoft Excel

General computer literacy is essential to adequately perform this function. Ability to learn and become proficient in company accounting software is required.

REASONING ABILITY

Incumbent must have the ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Incumbent must have the ability to deal with problems involving a few concrete variables in standardized situations.
